    We are currently seeking a detail-oriented Administrative Assistant to join our team in Hong Kong. As an Administrative Assistant, you will play a crucial role in providing administrative support to ensure the smooth functioning of our office operations. The ideal candidate will be proactive, resourceful, and possess excellent communication skills.

    Key Responsibilities

  • Main point of contact for all reception duties and office administration tasks, including replenishing office supplies and coordinating maintenance with all internal and external stakeholders and clients.
  • Build and maintain good relationships with internal and external stakeholders.
  • Organize and provide support for company meetings, events, workshops, and team-building activities.
  • Assist in coordinating travel arrangements and visa applications for management and employees.
  • Manage sales and vendor POs/invoices through internal and external platforms.
  • Enter data updates and generate reports from the internal CRM/Sales database.
  • Create and maintain client records in the system.
  • Manage filling, data entry, and preparation of materials for events/meetings.
  • Coordinate sales and marketing activities with all stakeholders,
  • Support various ad-hoc projects as requested by the management team.
  • Skills & Qualifications

  • Proven experience in office administration and support roles, preferably within the pharmaceutical or healthcare industry.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and CRM software.
  • Excellent communication and interpersonal skills, with fluency in English and Cantonese.
  • Strong organizational abilities with keen attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Proactive and resourceful, with a positive attitude and willingness to take on new challenges.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
